FAQS FOR PROVIDERS

Is my club/organisation eligible to take part in the Voucher program?

To be eligible, your sport or active recreation club, association or organisation must:

  • Be an incorporated entity registered with the appropriate regulator.
  • Possess an active Australian Business Number (ABN).
  • Be affiliated to a Sport and Recreation Victoria recognised Victorian State Sporting Association (SSA) or Victorian State Sport and Active Recreation Body (SSARB).

Local Government Authorities, facilities managed by the State Sport Centres Trust and facilities managed by Alpine Resorts Victoria are also eligible to register to participate in the Program.

You also need to meet and maintain the Conditions of Registration that apply at the time of registration and will apply for the duration of the Program.

What if my club or organisation is not incorporated?

An application can be submitted by an auspice organisation (e.g. a state association or league).

The auspice organisation must:

  • Meet all eligibility and conditions of registration on behalf of the registered provider undertaking the services
  • Submit the application and agree to the terms and conditions.

How do I know if my club is affiliated?

The list of recognised Victorian sport and recreation organisations can be found on the Sport and Recreation Victoria website and also in the  Program Guidelines.

What activities/sports are eligible?

Organised sport, active recreation activities and outdoor recreation programs including camps are eligible if the activity is:

  • delivered to children and young people aged 0 years to 18 years
  • a minimum of four sessions in duration
  • offered at the same costs to other participants, and
  • delivered by a registered Get Active Kids activity provider that is affiliated with the appropriate Sport and Recreation Victoria recognised Victorian State Sporting Association (SSA) or Victorian State Sport and Active Recreation Body (SSRB) for that activity.
My club/organisation is located outside of Victoria but near the state border, so we have Victorian resident children participating in our club/activity – are we eligible?

Your club may be eligible if you are:

  • an incorporated entity registered with the appropriate regulator; and
  • possess an active Australian Business Number (ABN); and are
  • affiliated to a recognised State Sporting Association (SSA) or equivalent governing body in Victoria or your home state.

REGISTRATION

What information will I need to register as an activity provider?

Registration is quick, easy and will only take a few minutes.

All applications must provide:

  • Organisation details including organisation name, address and contact details
  • Type of organisation and Incorporation Number
  • Australian Business Number (ABN)
  • Your name and role within the organisation
  • Your email address and contact phone number
  • A copy of certificate of currency of your organisation’s public liability insurance.
  • Organisation bank account details.

You must be authorised by your organisation to make the application.

If your club or organisation requires an auspice, they must apply on your behalf, redeem the vouchers and ensure the funds are used as specified in the application and in accordance with the terms and conditions.

Why can’t I find my State Sporting Association (SSA) on the list?

Some SSAs have been removed from the list as they are taking on state-wide responsibility for the redemption of vouchers. Clubs affiliated with the following organisations do not need to register individually as an activity provider:

  • AFL Auskick centres
  • Athletics Victoria
  • Auscycling
  • Basketball Victoria
  • Cricket Victoria
  • Girl Guides Victoria
  • Golf Australia
  • Motorcycling Victoria
  • Scouts Victoria

How long does it take for my registration to be assessed once submitted?

Registrations can take up to 15 business days for Sport and Recreation Victoria to assess and let you know if you’re successful.

Why do we need to register to be an activity provider?

A registered Get Active Kids activity provider is able to accept Get Active Kids vouchers valued up to $200.

Can we increase our fees to maximise our reimbursement?

No. The Program is designed to reduce the cost barriers for children to participate in sport and active recreation. It is a responsibility of registration that no differential pricing in membership exists between children approved for Get Active Kids Vouchers and other participants.

Can I include uniform or equipment costs?

Yes. You can include uniform or equipment costs (such as mouthguards or other safety equipment) as long as:

  • It is a necessary item in order for the participant to take part in the activity
  • The cost of the item/s is included in the same transaction as the registration

ACCEPTING AND REDEEMING VOUCHERS

What expenses can be claimed on a voucher?

Vouchers can only be used to cover the cost of membership and registration.

Uniform and equipment items that are incorporated within the membership and registration fees can be claimed (for example, safety equipment, mouthguards).

A participant has presented a voucher to my club, what do I do?

Participants can only present their voucher to the registered Get Active Kids activity provider that they nominated when applying for the voucher. Each voucher is valued up to $200 per eligible child.

  • Check that you are the activity provider named on the voucher.
  • You can log in to the Activity Provider Portal to check that the voucher code is valid.
  • Reduce the participant’s memberships fees by up to $200 at the time of registration.
  • Redeem the voucher through the Activity Provider Portal to receive your reimbursement.
How many vouchers can my club redeem?

There is no limit to the number of vouchers your club can redeem. Each eligible child can receive one voucher.

How do I redeem a voucher?
  • The parent/guardian of an eligible child will give you the approved voucher code when registering at your club or organisation.
  • You will reduce the child’s membership or registration fees by up to $200.
  • Log into the Activity Provider Portal to validate and redeem the voucher by entering the code and name of the participant
  • You will be reimbursed by the Department.
  • You must redeem the voucher within specified timeframes to receive payment.
How long does it take to receive payment?

Reimbursement will occur within 30 days of vouchers being approved for payment.

How long do I have to redeem my vouchers?

Vouchers must be redeemed between Wednesday 21 September 2022 and Tuesday 10 January 2023.

Can we use more than one voucher?

No. The program is limited to one voucher per membership/registration. Any amount over $200 must be paid by the participant or other source.

FAQs for applicants

Applications are open from 20 September 2022 and close on 30 November 2022.

Eligible applicants can either apply for a voucher or choose to be reimbursed for costs already incurred.

Can I apply?

To apply you must be:

  • the parent and/or legal guardian of an eligible child
  • the holder of a valid and issued Australian Government Health Care Card or Pensioner Concession Card with named dependants or your child is named on their own valid Health Care Card, and
  • the holder of a valid Australian Government Medicare card with named dependants.
Is my child/dependant eligible?

To be eligible your child/dependant must be:

  • Aged 0 to 18 years at the time of application.
  • A resident in Victoria.
  • Named on a valid and issued (at the time of your application) Australian Government Health Care Card or Pensioner Concession Card, or your child is named on their own valid Health Care Card.
  • Named on a valid Australian Government Medicare card.

Special consideration may apply if the child is currently residing in Victorian Care Services or the family is a temporary or provisional visa holder, undocumented migrant or international student.

What is special consideration?

Special consideration may apply if the child/dependant is aged 0 to 18 years, is a resident in Victoria and meets one of the following criteria:

  • child is currently residing in Victorian Care Services (Out-of-home care)
  • child/family is a temporary or provisional visa holder, undocumented migrant or international student.

You will need to provide documentation confirming your eligibility for Special Consideration. See Applicant Program Guidelines for more information.

Is my local club an activity provider?

A list of registered activity providers can be found here.

I can’t find my preferred provider in the approved list

There are a large number of registered activity providers. If you can’t find your preferred choice when you apply, please encourage your local club, association or organisation to register with the Program by visiting Info for providers. 

Some sports and activities are managing the vouchers through a central organisation. You should confirm with your club before submitting your application.

When you are selecting your activity provider for the following sports, you should choose:

  • Auskick: AFL Auskick
  • Athletics: Athletics Victoria
  • Basketball: Basketball Victoria Inc.
  • Cricket: Cricket Victoria
  • Cycling: Auscycling
  • Girl Guides: Girl Guides Victoria
  • Golf: Golf Australia
  • Motorcycling: Motorcycling Victoria
  • Scouts: Scouts Victoria.
What is a voucher?

A voucher is a code that represents payment of registration/membership fees. Vouchers are valued up to $200 can be used for costs associated with membership, registration, or participation fees of eligible children at a registered Get Active Kids Activity Provider.

Each voucher has a unique code specific to the approved child’s Get Active Kids voucher application, which is linked to the specific activity provider.

How do I apply?

When applications are open, click on ‘Apply Now’ and you will be directed to the Services Victoria application portal

What if my child/dependant is on two Medicare cards?

If your child/dependant exists on more than one Medicare card, use the card that Medicare issued to you for your child/dependant.

What if my child/dependant turns 19 during the season?

If your child/dependant is 18 and listed on a valid and issued Health Care Card or Pensioner Concession Card and Medicare card at the time of applying, they can redeem the voucher for that season.

I live on a border town, can I apply?

Eligibility will depend on where your child lives and plays. For example:

  • My child lives in Victoria and plays in a Victoria club – your child is eligible for a voucher.
  • My child lives in another state and plays in a Victoria club – your child is ineligible for a voucher.
  • My child lives in Victoria but plays in a club located in another state – your child is eligible for a voucher if the club is a registered Get Active Kids Activity Provider.
Can I still be reimbursed?

No. Reimbursement applications are closed.

Expenses covered

What costs are covered?

Eligible children may receive up to $200 to cover the costs of membership and registration fees.

Uniform and equipment items that are incorporated within the membership and registration fees can be claimed (for example, safety equipment, mouthguards).

Can I use a voucher for more than one membership?

No. Your voucher can only be used at one Get Active Kids activity provider.

If you use a voucher, you won’t be able to apply to be reimbursed for expenses already incurred.

Can I use my voucher on uniform and equipment?

You can only use your voucher on uniform and equipment if they are included in your membership or registration fees supplied through your Get Active Kids Activity Provider

What activities/sports are eligible?

Organised sport, active recreation activities and outdoor recreation programs including camps are eligible if the activity is:

  • Targeted at and delivered to children and young people aged 18 years and under (0 years to 18 years).
  • A minimum of four sessions in duration;
  • Offered at the same costs to other participants; and
  • Delivered by an approved Get Active Kids Activity Provider that is affiliated with the appropriate Sport and Recreation Victoria recognised Victorian State Sporting Association (SSA) or Victorian State Sport and Active Recreation Body (SSARB) for that activity.

How to apply

When can I apply?

Voucher applications are now closed.

How many vouchers can I apply for?

You can apply for one voucher per child.

You can choose either a voucher or reimbursement but not both.

What information do I need to provide?

All applications must provide:

  • your name and Victorian address
  • the name of your child you are applying for
  • details from your issued and valid Health Care Card or Pensioner Concession Card
  • Medicare card details for the child you are applying for
  • details confirming your eligibility for special consideration (if applicable)
  • demographic information for evaluation purposes
Can I apply for more than one child?

Yes. You can apply for multiple eligible children on the one application if you are using the same type of eligibility documentation (for example, all children are named on the same Health Care Card).

If any child is listed on a separate eligibility document, you will need to apply separately.

Where can I get further assistance with my application?

Service Victoria will assist you throughout the application process and with any issues you may experience while completing the form.

How long will my application take?

It will take you up to 15 minutes to complete your application.

How will I receive my voucher?

You will receive your voucher by email.  Each voucher has a unique code specific to the approved child’s Get Active Kids voucher application, which is linked to the specific activity provider.

Does my voucher expire?

Yes. The voucher must be presented to the activity provider at the point of registration by 10 January 2023 after which time the voucher code will expire.

How long will it take to process my voucher under the special consideration stream?

It can take up to 15 business days for Sport and Recreation Victoria to assess your special consideration application.

Why was my application unsuccessful?

Using your voucher

How do I use my voucher?

Present your voucher code to your nominated Get Active Kids Activity Provider at the point of payment when registering for your child’s participation. The activity provider will deduct up to $200 off your membership or registration fees.

Can I use my voucher at another sporting club or activity provider?

No. You can only use your voucher at the nominated Get Active Kids Activity Provider you selected during your application.

How do I cancel my child’s registration?

Cancellations will be considered for exceptional circumstances to be decided on a case-by-case basis. Contact [email protected] for more information.

My voucher has expired, can I apply for another one?

No, you can only apply for one voucher per child per round.

Reimbursement

How much can I be reimbursed?

Reimbursement closed on 30 November 2022.

Eligible applicants were reimbursed up to $200.

What costs are covered?

If you are eligible, you can be reimbursed for costs related to:

  • membership, registration or general fees to participate at an affiliated sport or active recreation club, association or program
  • equipment required to participate in the nominated activity, including second-hand equipment*
  • uniforms and clothing required to participate in the nominated activity, including second-hand uniforms*

*To be eligible to claim equipment or uniform and clothing expenses, you must first certify that you have incurred new expenses within the specified eligible expenditure dates for membership or registration fees related to participation in an organised activity or program of an affiliated sport or active recreation club, association or activity provider.

You must incur a minimum membership expense of $50 per round in order to be eligible to claim equipment and uniform.’

What activities/sports are eligible?

To be eligible under the program, the activity or program must be affiliated to a Sport and Recreation Victoria recognised Victorian State Sporting Association (SSA) or Victorian State Sport and Active Recreation Body (SSARB).
